We are looking for an experienced Executive Assistant to support our executive team and contribute to our continued growth.

Job Description:

As the Executive Assistant at Perfect Clean Ltd., you will be a key player responsible for providing comprehensive administrative support to our Directors. Your role will involve ensuring seamless operations and enabling our leadership team to focus on strategic priorities that drive business success.

Key ResponsibilitiesPersonal Assistant Support: Providing dedicated personal assistance to C-level executives, including comprehensive diary management, prioritising appointments, and managing personal schedules alongside business commitments. Handling personal correspondence and maintaining strict confidentiality of sensitive information.Travel and Logistics Coordination: Arranging complex domestic and international travel itineraries, including flights, accommodation, ground transportation, and visa requirements. Managing last-minute changes and ensuring seamless travel experiences with detailed briefing documents.Communication Management: Acting as the primary gatekeeper for executive communications, screening calls, managing email correspondence, and ensuring urgent matters receive immediate attention. Drafting letters, memos, and responses on behalf of the executive.Meeting and Event Support: Organising high-level meetings, including board meetings, investor presentations, and client entertainment. Preparing meeting materials, coordinating refreshments, and ensuring all technological requirements are met. Taking detailed minutes and distributing action points.Relationship Management: Building and maintaining relationships with key stakeholders, clients, and business partners. Acting as liaison between the executive and internal teams, external contacts, and family members when appropriate.Administrative Excellence: Managing executive filing systems, both physical and digital, ensuring easy retrieval of important documents. Handling expense management, processing invoices, and maintaining accurate records of business activities.Strategic Support: Conducting research for business meetings, preparing briefing notes on clients and industry developments. Assisting with presentation preparation and supporting strategic planning activities.Confidential Project Assistance: Supporting sensitive business projects, including mergers, acquisitions, and confidential negotiations.
